Deleting 856 Fields From Monographic Records

Policy:

In bibliographic copy for print monographs, monographic media, or other physical materials, all URLs in 856 fields, EXCEPT those which have addresses containing “loc.gov” or “libproxy.clemson.edu,”should be removed from the record. No assessment of the content of the URL should be made.

In our own original cataloging, we should refrain from adding URLs to bibliographic records for print resources.

Government documents are an exception to this. They will need their own policy because of GPO’s cataloging practices.

Serials are excluded from this policy.  Print and electronic resources should be cataloged in different bibliographic records.

Procedure:

Once a month, create review file identifying unwanted URLs in 856 fields and delete the field using global update.

In Create Lists:

1. Create review file storing Bibliographic record type using saved query 98, TSCM 856 deletes.

The saved query follows, in case it is not available and must be reproduced and typed in:

In Global Update:

Select Record Type: BIBLIOGRAPHIC

Select the Review file you did in Create Lists, by choosing Review in the pull-down menu and typing the name in the box.

A trick: you can quickly sort through the list of review files by clicking in the Review File box and typing the first letter of your file’s name.

Click Search, then click on Toggle and pull down to BIBLIOGRAPHIC Variable Length Fields –> Misc (field tag). Wait for the file to load.

After the file loads, set up a processing command:

  1. Click on Command Input tab (2.) at the top of the window.
  2. Choose Delete variable-length field, then Click OK.
  3. Make sure Use Displayed Field is checked in search window.
  4. Enter 856 in MARC Tag box, Click OK.
  5. Click on the Preview tab.

NOTE: You must LOOK AT THE DATA IN THE PREVIEW before clicking “Process.” Scroll down and deselect (unclick) URLs that you want to save (loc.gov and libproxy.clemson.edu). These will not be processed (meaning that the 856 field will not be deleted). 

  • Uncheck any “loc.gov” URLs.
  • Uncheck “libproxy.clemson.edu” URLs and refer to Electronic Resources Team (bib location is probably incorrect).
  • Uncheck any record with an URL that contains “clemson.” These are URLs for clemson LibGuides pages or ILLiad pages. They should be kept.

After you have deselected the URLs that you need to, click on Process and select Yes in dialog box. The 856 fields will be deleted from the checked records.

If this procedure is not followed exactly, it has the potential to eliminate access to all of the electronic journals and electronic books in the catalog. It therefore should be done very cautiously.
